Reservation retainers
A 50% reservation retainer is collected at booking to reserve your date, staffing and inventory. Your date is not held until the retainer is received. All retainers and deposits are non-refundable.
Policies
Clear terms, no surprises
These policies form part of the Plushie service agreement signed during booking.
Remaining balance
The remaining 50% is due 14 days before your event. Events booked within 14 days of the event date require full payment at booking.
Final participant count
Pricing is based on the number of Plushie experiences reserved, not final attendance. Your final participant count, selections and personalization details lock 14 days before the event. Counts may be increased before that deadline subject to availability.
Plush selection deadline
Plush friends, outfits, packaging and personalization selections are due 14 days before the event so inventory can be reserved and prepared.
Inventory substitutions
Box designs and plush selections are subject to availability. Plushie may substitute a comparable option of equal or greater value when necessary.
Rescheduling
If an event cannot take place as scheduled, it may only be moved to a different available date. Rescheduling requests made at least 14 days before the event are permitted at no charge, subject to availability. Requests made within 14 days are accommodated when possible and may incur an additional cost.
Cancellation
All payments, retainers and deposits are non-refundable. Plushie does not issue refunds for canceled events. If you cannot proceed on the scheduled date, amounts paid may only be applied to a rescheduled event on another available date, subject to the rescheduling terms.
Inclement weather
For outdoor events, the host must provide a covered or indoor backup location. If conditions are unsafe for guests or equipment and no backup is available, the event will be rescheduled subject to availability.
Outdoor events
Outdoor setups require level ground, shade or cover, and accessible power. Wind, rain, heat and uneven surfaces may limit which activities can be safely hosted.
Adult supervision
A responsible adult must be present for the entire experience. Plushie staff host the activities but do not provide childcare or supervision of guests.
Product and age safety
Experiences are intended for ages three and up. Sound modules, scent chips, beads and small accessories are intended for older or supervised participants. Hosts are responsible for communicating allergies and sensitivities in advance.
Event start delays
Our team arrives early to set up. If access to the space is delayed, the experience end time remains as scheduled. Extended time may be purchased on site when the schedule allows.
Venue permission
The host is responsible for securing venue permission, required approvals and any permits before the event date.
Parking and loading
The host must provide a legal, reasonably close place to park and unload. Paid parking, tolls, venue loading fees and permits are billed in addition to the experience total.
Electrical access
Signature Machine experiences require a standard grounded outlet within reach of the setup area. If power is unavailable, the machine cannot be operated safely.
Stairs and difficult access
Normal ground-floor access, a working elevator or up to eight entry steps is included. A $35 Extended Setup Access Fee applies only to genuinely difficult access such as 9–15 steps or one full flight without an elevator. More demanding access may require a higher fee or administrative review.
Equipment damage
The host is responsible for loss or damage to Plushie equipment caused by guests, pets or venue conditions during the event.
Photography permission
Plushie may photograph setups and experience moments for marketing. Hosts may opt out in writing before the event, and we never publish images of guests without permission.
Large-event coordination
Large-group experiences include coordinated staffing and participant rotations. A Plushie Event Coordinator will confirm the final experience plan after booking.
Unused guest materials
Unused plushies and applicable package materials will be provided to the host at the conclusion of the event.
